Direct answer: A useful management package connects operating results, balance sheet positions, cash movements, upcoming funding needs, tax matters and decisions required from headquarters. The numbers, commentary and actions should use the same confirmed reporting basis.

Sending financial statements does not necessarily answer why funding is needed, why margins changed or whether a cost is recurring. Headquarters often needs a connection between the numbers and the business choices.

Establish the reporting basis

Identify the entities, period, currency, accounting basis, version and close status on the cover page. U.S. tax records and headquarters reporting may use different treatments. Preserve account mappings and adjustment schedules so the reporting bridge remains traceable (see bridging PRC GAAP books to U.S. GAAP and tax basis).

Organize the package around eight questions

ModuleHeadquarters question
Executive summaryWhat changed, and what matters most?
Results and variancesWhy did revenue, margin or spending move against budget or prior period?
Balance sheetAre receivables, inventory, payables and intercompany balances supported?
Cash movementHow did accounting results translate into cash; which outflows are not current expenses?
Short-term forecastWhen might funding be needed; how do base and downside differ?
Working capital and metricsWhere are collections, inventory or operations diverging?
Tax and open mattersWhat filings, payments or notices require attention?
Decision logWho needs to decide what, by when, and with what consequences?

Adjust the package to the business. A low-volume company does not need complexity simply to fill a template.

Explain cause, impact and action

"Margin declined" states an outcome. Useful commentary separates price, mix, freight, inventory costs and returns, identifies verified information versus estimates, and explains the decision available to management.

A funding request should not be a separate email. Connect it to forecast timing and specific uses of cash; show current liquidity, expected collections, commitments and alternatives. The tax and legal characterization of funding is assessed separately — the report itself should not classify it without basis.

Assign ownership

The controller manages close and reconciliation quality and confirms the reporting basis. CFO support interprets results, revises forecasts and frames choices. The tax leader contributes tax matters and expected cash requirements. Management approves operating decisions. One team can assemble the package, but the review of significant judgments cannot be skipped.

Keep bilingual language consistent

Chinese commentary and English financial schedules can work together if terminology, currencies, units and metric definitions remain consistent. Revenue, gross profit, contribution margin and cash balance should not change meaning between reporting cycles, and "万元" versus "USD thousands" should never be left to the reader to guess.

Set cross-time-zone deadlines and pre-meeting review time. Meetings should resolve material changes and open decisions, followed by an updated owner and deadline — not another spreadsheet version without a number.
